As an Events Administrator, you will be responsible for Assisting the Catering Director by providing administrative and operational support to ensure the successful implementation of planning, coordinating and executing company standards for events.Job Description: This position will report to the Catering Director and will work closely with Chef Managers at specified units to ensure the catering operations meet the expectations and demands of the clients successfully.Nature of Work:The Event Administrator is responsible for overseeing all administrative procedures for catering events through the creation of proposals, submitting staff and rental orders, software database management, generating payroll reports and processing invoices/billing for clients. The Events Administrator also assists the Catering Director with client requests such as taking phone calls and answering emails. Responsibilities for the Event Administrator also include meeting with clients to work out?event?details and be present for events.?We care about each other and foster a positive, respectful and diverse team?Responsibilities:The essential functions of the position include, but are not limited to: ? Must be highly motivated and organized with excellent communication skills, both verbal and written, as well as capable of leading by example ? Demonstrate superior time management skills which include managing multiple projects and activities at the same time ? Must be able to complete multiple tasks with similar deadlines ? Perform clerical duties as assigned ? Execute all other tasks as assigned by the Catering Director Administrative ? Responsible for the entire administrative flow of the Catering Department ? Oversee all operations for the catering software module ? Software database maintenance, coordination and management ? Generate daily overtime reports for payroll ? Complete general office procedures such as invoicing, storing and filing invoices, tracking staffing and rental orders ? Process monthly invoices and payments, ensure that clients receive their billing statements ? Generate menu proposals, prepare rental orders and submit staffing orders for events ? Assist clients with requests, changes, etc. on behalf of the Catering Director ? Assist the Catering Director in taking calls and responding to emails? Support management team in assigned project-based work which may include drafting and modifying a variety of documents and/or correspondence as well as performing basic accounting functions? Support Events team as required including other duties as assigned and/or required?We live by our values and are disciplined about staying true to themEducation, Training and Experience:????????? Bachelor?s degree in Hospitality, or a related business degree preferred????????? Equivalent experience may be accepted in lieu of a degree????????? Minimum of 2-3 years? experience in working in an administrative role and event planning in one or more of the following industries: ?? Hospitality/Food Service, School/University, Business Management or a related discipline required.????????? Excellent verbal and written communication skills required????????? Exceptional interpersonal and customer service skills required????????? Strong project management skills required????????? Proficiency in the following software required; MS Word, Excel and PowerPoint
